Job Description
Financial System Development:

• Responsibility for the implementation and control of New Age Software in all locations (Regional & Corporate level). Work closely with CFO to improve our financial system and assist in introducing, as part of our overall efforts to provide timely and appropriate information to the Directors of the company. Roll out of e-freight to be up and running in all locations online by 1 July 2016.

MIS & Other key Financial Reports:

• Submission to Management MIS reports for all locations in a timely manner.
• Submission to CFO all working capital management reports (cash flow & fund flow).
• Supervision of the preparation of various monthly, quarterly and annual fiscal reports, including income statements and balance sheets as per set timelines or when required. Ensure all reconciliations/schedules are done prior to preparation of financial reports including income statement and balance sheet.
• Reporting formats to be streamlined and deadlines are strictly followed.

Cost Control/Internal Controls

• Must adopt effective methods and tools towards cost management/internal controls (asset transfer/staff advances, etc.) for ensuring expenses (excluding job related) are monitored efficiently and reviewed with CFO every quarter to help take remedial action and make necessary reductions.

Financial Monitoring

• Establish and maintain lines of communication with all financial heads at Regional level. Undertake visits on quarterly basis to branch offices for audit of books and to ensure quality in all aspects of financial management.


• Responsible for preparation and maintaining of Regional accounts in accordance with financial policies and procedures, including reconciliations of accounts at Regional level.

Financial Management (all offices including LGT)

• Ensure that all monthly payments are executed as per statutory requirements and as per deadline.
• To check and compare all quotations and authorize LPOs before finalizing of orders.
• Handle online bank transfers related to payroll, admin, Dubai customs, DP World and agents routed (Saudi branch) and ensure that correct data for online payment is uploaded through the bank.
• Ensure timely recording of all transactions and the preparation of all financial reports.
• Rectification of incorrect accounting entries related to current month to be passed prior to month end closing.
• Manage internal audit related to books of account for all offices, including HO.
• Supervise staff and delegate daily work assignments based on departmental priorities.
• Preparation of monthly budgets for all offices, monitoring and forecasting revenues and expenditures; ensuring allocation levels are defined by precedent (monitoring and checking of monthly budgets prepared by branch offices)
• Assist in the preparation of all audit/review schedules and review books and records with an outside audit team.
• Ensure all offices/branches follow company financial SOP and streamline bottlenecks and loopholes.
• Conduct surprise physical cash checks for all offices.

Payroll Management (All Offices including LGT)

• Manage, and control all changes and payments on the payroll system to ensure accurate output.
• Direct and oversee the processing of monthly payments, manage and reconciliation of cash books, and ensure accurate and timeous costing of payments from payroll to general ledger.
• Oversee the collation of all salary amendments to ensure salaries are paid before the 30th of each month.
• Ensure that net salary reconciliation is done before the salaries are paid.
• Monthly audits on payments and reconciliation and financial reporting on salaries to CFO
• Compile audit reports for all the relevant sections of the payroll, per company (all branches)
• Preparation of required financial reports which include the compilation of analysis of salary related data required for the preparation of specialized monthly, quarterly and annual reports.
• Responsible for reinforcing internal controls with subordinates as well as ensuring that rules, regulations and procedures are adhered to as related to the salaries process.
• Participates, under the guidance of the CFO, in the development of new accounting techniques as well as in the design and implementation of accounting subsystems, to assist in the execution of salaries administration.

People Management

• Recruit, manage, train and motivate direct reporting in the Finance Department.
• Provide guidance to the staff on their results in order for them to see weaknesses, strengths and ways on improving efficiency of their working day.
• Review performance of direct and indirect reports on a periodic basis as per the Performance management policy and present to management a performance report which includes full identification of workload by employee, number of bookings managed, number of quotations closed.
• Motivate and guide the account team members to excel individually and as a team.
